Executive Secretary (To Chairman/ CEO)

- Implement the day-to-day operations assigned for the job to ensure compliance with the established standards and procedures of the Group.
- Information contact between CEO & others.
1. SECRETARIAL & ADMINISTRATIVE TASKS TO CEO
• Monitor and handle CEO’s email relative to daily business and non-business activity, follow up and reply on his behalf accordingly;
• Manage the daily flow of information from the CEO’s office, make sure the discipline is totally controlled and advised;
• Navigate the Group interface with various departments on behalf of CEO to collect information, respond to requests, etc;
• Manage workflow and communications with appropriate individuals internally and externally;
• Maintain an organized system for tracking, monitoring and prioritizing tasks and projects, in order to collaborate extensively with individuals at levels inside and outside the Group;
• Develop and maintain professional working relationships with senior contributors in the organization. This will include appropriate handling of confidential, as well as non-confidential information;
• Remind MDs & Dept. Head to submit monthly/quarterly reports to BOM; Collect and consolidate weekly schedule to CEO;
• Coordinate with Admin Dept. Head in organizing Group meetings, events, year-end party;
• Prepare presentation and speech for CEO before meeting/seminar;
• Translate related documents, take minutes in meetings;
• Miscellaneous – On behalf of CEO send SMS out to clients/partners/staff;
• YPO-WPO, CEO, ABC and WEF related matters
- Forum, network, events

2. SECRETARIAL & ADMINISTRATIVE TASKS TO BOM
• Manage calendars and set meetings for BOM as per requests (internal & external);
• Communicate with partners/clients for making appointments/meetings;
• Others assistance as needed
3. ADMIN COORDINATION ON OTHER PROJECTS
• Follow up on important/urgent actions and decisions from the project’s owner;
• Provide administrative supports as needed;
• Coordinate with project team and contractors for solving issues directed by the owner;
• Connect the project team, contractors and the owner for the meetings;
• Do documenting and prepare necessary documents for meetings or project communications
Yêu cầu ứng viên
• Bachelor degree
• Must have excellent English
• 3+ years relevant experience
• Integrity & confidentiality
• Ability to multi-task and handle stress, spirit 24/7
• Excellent interpersonal skill & communication skill
• Excellent computer literacy.
• Excellent organizational and time management skills
