Sales Assistant / Trợ Lý Kinh Doanh

The Sales Assistant role manages the full internal Order cycle between the factory and SEA sales companies across Southeast Asia. This position acts as the communication window for all internal Purchase Orders (POs), coordinates closely with production to ensure on time delivery, and warranty claim handling to maintain service quality and internal customer satisfaction.
KEY RESPONSIBILITIES
- Internal Order handling
- Receive, review, and confirm internal POs from member companies.
- Validate Order details (models, quantity, specifications, delivery schedule, pricing based on Supply Contracts or internal transfer rules).
- Input and maintain accurate Order data in the system.
- Production coordination
- Communicate Order Forecasts and confirmed POs to the Production Planning team:
- Follow up on production status and ensure alignment with requested delivery timelines:
- Coordinate changes, urgent requests, or schedule adjustments with both production and sales companies:
- Coordinate with the production department to update member companies on changes to technical specifications and designs
- Communicate Order Forecasts and confirmed POs to the Production Planning team:
- Delivery and Logistics coordination
- Prepare delivery plans based on production plan and customer requirements.
- Coordinate and work with logistics/warehouse teams to arrange shipment, export documents, and delivery tracking.
- Monitor delivery performance and proactively resolve delays or issues.
- Warranty and after sales support
- Receive warranty claims from member companies and verify claim information.
- Coordinate with production technical team and service teams to evaluate claims and determine solutions
- Track claim progress, ensure timely resolution, and maintain warranty records
- Internal communication and reporting
- Serve as the main communication window for all Order related and Service related matters.
- Provide regular updates on Order status, production progress, and delivery schedules
- Prepare monthly reports on order volume, delivery performance, and warranty cases.
- Support development of internal order procedures, documentation standards, and communication workflows.
- Identify bottlenecks and propose improvements to enhance efficiency and service quality.
Yêu cầu ứng viên
- Bachelor’s degree in Business Administration, Supply Chain, International Business, or related fields (including but not limited to Bachelor of Engineering in Mechanical engineering, Electrical Engineering, Thermal engineering).
- 0–4 years of experience in sales administration, Order management, supply chain coordination, or customer service (manufacturing environment preferred).
- Experience working with regional or international teams is an advantage.
- Strong understanding of order‐to‐delivery processes in a manufacturing environment
- Good coordination and communication skills to work with production, logistics, and sales companies.
- Ability to manage multiple orders and deadlines simultaneously.
- Problem‐solving mindset, especially for delivery issues and warranty cases.
- High attention to detail and accuracy in documentation.
- Proficiency in ERP systems (SAP, Oracle, or similar).
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Proficiency in English communication for international environtment.
- Proficiency in Japanese communication is an advantage.
- Ability to work independently and as part of a team.
- Good-looking appearance.
