Office management:

  • To organize the office layout;
  • To manage office supplies inventory, office equipment and place orders as necessary
  • To maintain the office condition and arranging necessary repairs;
  • To ensure day-to-day operation of the team smoothly;
  • To plan in-house or off-site activities, like parties, celebrations, conferences and travel arrangement;
  • To develop office policies and procedures, and ensure they are implemented appropriately
  • To assist with office layout planning and office moves, and with managing and maintaining IT infrastructure;
  • To organize office operations and procedure;
  • To manage payment for the office expenses;
  • To save and control document file in Drive storage;
  • To build, contact and order with vendors for desk/ chairs, stationery, souvenir, uniform, printing, gifts ...;
  • To support team needs at event;
  • To offer the healthy food and drink for office;
  • To inspire the positive lifestyle to employee.

HR administration:

  • To support the HR Manager in recruitment process, HR reporting efforts;
  • To ensure up to date tracking on the team’s daily/ weekly to do list;
  • To support contract process related to staff, including event freelance workers;
  • To make and follow up the labor contracts for full time, intern, service. Alert contract expires and prepares contract renewal;
  • To collect full employees’ documents and keep them in database;
  • To update and manage the employee database;
  • To monitor Annual leave and overtime situation of related Department;
  • To check and review leave records, remind to close or correct leave records if any;
  • To support to register Tax code, PIT dependents as well as contact Government department to solve issues if any;
  • To support to prepare and submit reports to Trade Union, Labor Department;
  • To collect and notarize/ legalize paperwork from expats for work permit/ visa/ residence card submission;
  • To support onboarding process for new hires along with HR Manager;
Yêu cầu công việc
  • Bachelor's degree in business administration, communications, or a related field
  • At least 3 years in an administrative/office management role
  • Knowledge of Office Suite
  • Strong human relations skills
  • Good comment in English
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Strong organizational and time management skills
