KEY ROLES AND RESPONSIBILITIES
1. Human Resource Duties
· Review resumes, cover letters and advise prospective talent beforehand. Complete all pre-screening and screening activities for prospective employee. Schedule interviews and assess interview performance.
· Prepare, manage and maintain proper and up-to-date documentation on employee life cycle events including onboarding, confirmation, off-boarding etc
· Ensure timely and accurate enrollment/ termination/ update of employee information for Company insurance and Social Insurance
· Assist to prepare and submit monthly mandatory reports for locals and expatriates to the relevant government agencies including Social Insurance Department and Tax Department
· Ensure timely and accurate update to HR information system/ database including annual leave tracking
· Assist with the computation of final pay for resignees
· To be constantly updated on the latest changes to the Vietnam Labour Code and advise Manager, HRAD on the impact to the Company

2. Administrative Duties
· Source and arrange for the purchase of office supplies, equipment and services
· Provide administrative support to the Company and team, including notarisation of documents, name card printing, logistics arrangement for business trips, organising Company/ department events
· Manage drivers and transport vendors to ensure availability, service quality and cost effectiveness
· Assist with submission of visa/residence card/work permit application for expatriates
· Timely and accurate maintenance of taxi usage report and ensure proper filing of expenses, correspondences and billing records

3. Office Management Duties
· Office premise management including utilities/broadband and vendor management
· Manage office supplies such as stationary, furniture and pantry items
· Ensure all office expenses do not exceed the annual set budget

4. Others
· Make sure to comply with all company policies and procedures and adhere to company standards
· Other tasks as assigned by Manager, HRAD

QUALIFICATIONS & EXPERIENCE
1. Minimum Bachelor’s Degree in Human Resources, Business Administration or equivalent, with at least 3 years of relevant experience in HRAD
2. Well versed with Vietnam labour law and best practices
3. Ability to effectively prioritise and manage multiple projects and responsibilities
4. Must be able to work independently and handle sensitive information
5. Strong interpersonal skills and proficient in English (both written and oral) for communication with Expatriates and HQ Singapore
6. Basic understanding of Power/Renewable Energy market in Vietnam will be an added advantage

SKILLS/COMPETENCIES & PREFERRED CHARACTERISTICS
1. Interpersonal skill — ability to build strong relationship across levels and gain their trust and respect
2. Deductive Reasoning - ability to apply general rules to specific problem to produce reasonable and realistic solution
3. Demonstrated ability to manage complex schedules, requests and environments, with a high degree of multi-tasking and time management capability
4. Knowledge of clerical and administrative procedures and systems
