Admin cum Receptionist Executive

1. Admin works:
- Reviews company cars mileage, overtime and other expenses on a monthly basis.
- Arranges and manages car schedule of drivers daily.
- Instructs and manages messengers and office cleaner to do all administrative tasks, cleaning and documents delivery.
- Be responsible for incoming and outgoing mails and packages via normal and courier service.
- Be responsible for office supplies such as stationery and pantry inventory at cost efficient and quality levels
- Assists in planning and preparation of meetings, seminars, presentation, conferences, company trip, social/outdoor activities… that hosting by HR
- Books air ticket for all staff as per request
- Assists in managing office facilities maintenance including of furniture and fixtures, office security
- Arranges hotel accommodation, transportation means… for Staff and Guest as request.
- Be In charge of Union task.
- Support Admin in all Administration tasks:
+ Office fitting out (if any) and office decoration.
+ Office supplies: office furniture and office machines at cost efficient and quality levels
+Purchases of all items for work of administrative nature relating to office such as card visit, letter head, envelopes, gifts, ferry tickets etc.,
+ Office expense records.
2. Receptionist work:
- Responsible for acting as the first contact person for visitors and callers to PEB Office. This includes receiving visitors and directing them to the appropriate department
- Responsible for telephone calls and redirecting enquiries to the appropriate departments / colleagues and to connect calls to speaking parties.
- Accurately takes message and relays to person(s) concerned promptly.
- Responsible for arranging logistics to welcome customers: meeting room, beverage …
- Responsible for keeping reception area and pantry organized and tidy
- Responsible for updating internal office telephone directory / list
Yêu cầu công việc
- University/ college degree in business administration, English or similar
- At least 2 years of experiences in a similar position.
- Good knowledge of administrative and clerical procedures
- Proficient in English both spoken and written
- Good communication and organizational skills.
