Team Assistant || Executive Assistant
1/ Team Assistant:
-Provide administrative support to the consulting team effectively and efficiently, such as
scheduling both internal and external meetings across many locations and time zones,
liaising with relevant internal departments and making logistical arrangements.
-Participate as an active member of the client service team by performing diverse
administrative duties, such as managing team calendar and team contact lists, arranging
team meetings and workshops, scheduling calls for teams, supporting team learning sessions
as needed.
-Work with other Executive Assistants to ensure proper communication and coordination of
meeting and deadlines with the Partners and Associate Partners on the study, act as the
liaison for the Engagement Manager and associates on the team.
-Work collaboratively with other Team Assistants to ensure back-up coverage.

-Schedule appointments, and maintain and update daily calendar.
-Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense
reports.
-Screen all incoming phone calls, inquiries, visitors, and correspondence, and route
accordingly.
-Maintain confidentiality of highly sensitive information.
-Manage complex office administrative work requiring the use of independent judgment and
initiative.

-Manage all documents of the Marketing Department (contract, proposal, payment request,
payment in advance, ).
-Control and re-check the monthly expenses of the Marketing Department with the FIN
Department.
-Collect data from other teams of the Marketing Department to send the
weekly/monthly/quarterly cash planning report on time to FIN Department.
-Apply licenses for promotional programs with Ho Chi Minh Trade Department.
-Coordinate tasks of each team belong to Marketing Department (Digital Media, Creative,
KOL&PR, Partnership).
-Cooperate with Store OP to make sure the accurate daily traffic to achieve KPI.
-Be responsible for opening the LCD screen to show detailed KPI daily.
-Make a plan for the budget in 2019 by collecting numbers from other teams belong to the Marketing Department.
-Issue vouchers/ E-code and make a file to list all serial numbers to send to Store OP to
import data to the system. In addition, control and manage the number of vouchers.
-Update all new SOP and changes in the company to all members of the Marketing
Department.-Control and order stationery.
2/ ASSISTANT:
-Translate from Vietnamese to English and versa for contracts and proposals (if any).
-Book a meeting room for all meetings of the Marketing Department on Google Calendar.
-Be responsible for dealing with some urgent cases.

-Devise and revise the center program format and ensure that it reflects all current center
activity.
-Promote the work of the center through a range of medium (posters, standee, etc).
-Organize and maintain a dynamic library of reference material in the reception area for both
staff, users, and visitors use.
-Operate manual and computerized office systems (recording statistics,, relevant databases,
collating information for evaluation, etc).
-Assist in premises maintenance to ensure that repairs are carried out.
-Undertake office telephone, including taking messages for other staff.
-Undertake general office duties are: dealing with internal and external email inquiries -
photocopying and collating papers and mailings - arranging documents to be printed -

-Oversee and supervise the work of staff for whom the post holder is responsible, delegating
