1. HR responsibilities
- To be responsible for the end-to-end recruitment process, including but not limited to:
• Prepare a Job Description base on the human resources demands of each department.
• Coordinate with the recruitment service provider to go live the post
• Screening CV, calling candidates, and arrange the face-to-face interview
• Participate in the interview with the HR Manager and evaluate candidates
• Follow up with candidates to hear their opinions in order to improve the recruitment process.
- To manage on staffing cycle:
• Well-prepared for the onboarding process such as liaise with IT regional to create an email account.
• Record employee data in soft and hard copies and ensure all the records are updated and accurate.
• Coordinate with the agency to prepare the additional insurance for employees.
• Prepare all the HR legal documents such as Offer Letter, Labor contract, Appendix, Confirmation Letter…
• Provide guidance, research, and assistance with preparing visa applications and work permits for special employees.
• Arrange the off-boarding process by prepare the Agreement for labor contract termination and fulfill the Exit Checklist.
• Support HR Manager in 2021 HR Project: improve internal policy, synchronize forms and processes.
- To be in charge of the training process:
• Work closely with Regional to assign the internal training task for employees.
• Manage training system; remind employees to complete the task on time.
• To be the main contact to discuss, negotiate, and being a coordinator between the law firm and Regional to build up and conduct external training.
- Support HR Manager in C&B:
• Manage leaves system: control data, support staff to submit leave, and export data to perform payroll calculation.
• Check the payroll sheet which is prepared by the payroll service provider to ensure the calculation of salary, SHUI, PIT is correct.
• Support staff to conduct the PIT finalization.
• Follow up with service provider to ensure all the information of new employees is fully updated to authorities.
• Draft and submit all the reports in relation to labor reports to authorities on time.
2. Admin responsibilities:
- Acting as a receptionist: welcome guests, answer phone calls, transfer inquiries to the department in charge.
- Support the Sales team in prepare the quotation, proposal, and tender.
- Review contracts of customers and vendor/supplier and record all the contracts in hard and soft copies.
- Manage, control, and order office equipment, stationery base on the demand of the office.
- To be the person in charge of contacting vendors, building for additional requests.
- To prepare required reports to ensure the office complies with Vietnamese law as well as internal reports follow company policy.
- Draft and translate minutes, power of attorney, the decision of the Country manager.
- Update and inform employees of new regulations and requirements.
- Plan and organize events for the office: year-end party, customer's night, family day, monthly birthday.

- Perform tasks relating to obtaining licenses for establishing Foreign Invested Enterprise, Representative office, Work Permit, Visa, registration short-term, long-term loans.
- Coordinate with the customer to prepare, finalize applications to meet the above inquiries.
