Position: Office Assistant Admin
Line manager: HR Associate-Service & Office
- Record/send/distribute mails/documents in and out of office;
- Accompany contractors including Saturdays while: Follow up & monitor office maintenance (air
conditioners,fire extinguishers, pest control, carpet cleaning, electricity, access system, bonsai…);
- Delivery & order pantry supplies;
- Manage pantry stock such as: tea, coffee, mineral water, tissue- papers… , and recording;
- Monitor & order stationery;
- Prepare invitation letter for guests, Support in pre-visa application for guests;
- Check, record & arrange payments for bills of subscription phones, taxi, water, air tickets, car rental, office
- Lease, newspapers, desk phones and others on time. Prepare relevant reports as required;
- Supporting on payment for Ha Noi office: water, lease office, bonsai, desk phone;
- Monitor the cleanness, tidiness & hygiene of meeting room / office;
- Monitor & follow up Crown archive in & out of office for checking & arranging payment;
- Order name card for employees;
- Keep Ho Chi Minh & Ha Noi’s office expenditure recorded;
- Keep cash advance;
- In charge of office parking;
- Logistic support for company’s activities, events & meetings such as team building / Tet party;
- Contact 3rd party to get quotes and order office supplies such as consumable, parts, repaired / maintained
service/ office equipment within the office budget guidelines;
- Keep records of all office assets;
- Notary (licenses, certifications, documents) when required;
- Make photocopy, filling office contracts, payment documents, binding and shredding documents when
required by supervisor;
- Other tasks assigned by Supervisor
