* Administration:
Manage day to day administrative operations of the company
Manage several large scale project implementations, and coordinate with multiple internal departments to
ensure smooth implementation
Enhance and optimise corporate policies and proceedings
Implement office procedures and processes to ensure accuracy of records and proper filing
Establish relationships with suppliers, contractors to provide the most cost effective solutions for the business
Assist all departments with the preparation of correspondence and documents
Support and assist with the planning, preparation of meeting minutes and other documents
Perform as liaison with various vendors, providing maintenance, security, and other occupancy services
Gather and perform initial review for the expense claims
Prepare travel arrangements for executive staff and senior management
* Human Resource:
Involve in entire recruitment process: Job posting, filtering, scheduling, testing, offering, docs collecting,
onboarding
Prepare relevant HR paperwork (NDA, Offer Letter, Labor Contract, Resignation Approval, Handover Sheet)
Maintain all employee records including profile, attendance and annual leave
Fully responsible for Social - Health - Unemployment Insurance for employees
Organize internal events (support office renovation and relocation, Grand Opening, Annual Summit, Team Bonding, Staff Birthday,…)
* Finance:
Liaise with Accounting Officer in the day-to-day functions of Finance and Accounting, including expense claim submission, bookkeeping, filing, and basic reporting
Collect supporting documents related to billing and invoices from suppliers and update client/supplier payments status
* Legal:
Support project permit and license applications, manage legalization/notarization of documents; signature and
stamp management
Provide desk research on local Labor Code, Taxation, Insurance,…
