Position Cum Admin & Office Manager Secretary for CEO
Responsibilities - Handling office, house & car rental (for 10 Expats); school for
Expats’ children (cost, contract & budget..)
- Manage employees Information; Office renovation (average 1 time/year)
- Apply visa and resident cards for Expats (10 Expats & 25
dependents) and business traveller;
- Assume management responsibility for assigned services and
activities of the Administrative within an assigned department
including purchasing, personnel, information technology, and
administrative support programs and services; Implementing and
maintaining procedures/ administrative systems…
- Control & manage office equipment, stationary & assets; other
services;
- Booking air tickets, hotels (domestic & oversea for all staffs)
- Booking golf & floating and other services
- Preparing workshop, event every year (Specially for President’s
visit from Korea with over 1 hundred people)
- Manage company stamp
- Handle shipping & receiving all documents & other in domestic
& oversea
- Monitor compliance with regulatory requirements; Liaising with
staff, suppliers and clients;
- Assist in maintaining good relations internally / externally to
facilitate business operations;
- Prepare all documentation for the department as requested
- Perform other tasks as assigned
- Support home or personal life maintenance tasks as assigned
- Control, Manager & support Affiliates (26 affiliates & branches)
about Admin tasks and Membership card of Group in Vietnam
(register, destroy and policy)
- Handling benefits for employees (43 employees) about 24/7
Health Insurance; Health check-up; gift for birthday & holidays...)
- Perform various purchasing functions; review and/or prepare bid
packages for equipment or supplies;
- Secretary for CEO in Office
+ Acting as a first point of contact;
+ Dealing with correspondence and phone calls;
+ Managing diaries and organizing meetings and appointments,
often controlling access to the manager/executive;
+ Booking and arranging travel, transport and accommodation;
+ Reminding the manager/executive of important tasks and
deadlines;
+ Managing databases and filing systems; Collect information
and make reports to BOD
